The price on a vendor’s pricing page is for one seat on the cheapest plan. What a team pays is often different: some plans bill a minimum number of seats, some stop at one or five users, and monthly billing costs more than annual. Enter your team size and this calculator works out the real monthly bill for 24 project management and CRM tools.

01Monthly cost at common team sizes
The same calculation at four team sizes, on annual billing. A plan name in brackets means the team has outgrown the entry plan and needs that one instead.

02How the calculator works
- Cheapest plan that admits the team. For each tool we take every published paid plan, drop the ones whose seat limit is below your team size, and keep the cheapest of the rest.
- Seat minimums are billed. If a plan bills at least three seats, a team of two pays for three.
- Annual or monthly. Annual billing shows the monthly equivalent of the yearly price. Where a vendor publishes only one of the two, we use the one it publishes and say so.
- Free plans. When a tool’s free plan admits a team of your size we flag it, because the right price may be zero. Free plans limit more than headcount, so check what is included.
- What is left out. Taxes, add-ons, onboarding fees, usage charges and negotiated discounts. Plans sold only by quote are not counted.
Email marketing tools are priced by the size of your list instead of your team, so they are not in the calculator; their entry prices are in the SaaS Entry Price Index. Prices were last checked against the vendors’ pricing pages on 2026-10-01, and our methodology page explains where they come from. Confirm the current price with the vendor before you buy.
